Privacy policy
This policy explains what Recruit100x collects, why, how long it is kept, and the choices agencies and candidates have. It is written for both audiences; the sections say which applies.

Who we are to your data
Recruit100x is operated by Interview100x. For agency accounts (recruiters, owners, billing contacts) we are the controller of account and billing data. For candidate datacollected through interviews, the recruiting agency that invited the candidate is the controller and Recruit100x processes it on the agency’s instructions under our Data Processing Agreement.
Candidates with questions about a specific interview should contact the agency that invited them; the invitation email says who that is.
What we collect
From agencies: name and email of team members, agency name, website and operating state, branding you choose to add, the roles and criteria you create, billing details handled by Stripe (we never see full card numbers), and the actions you take in the product (kept in an audit log).
From candidates: the name, email and optional phone the agency imported; the interview itself — audio (for voice interviews), a transcript, and the facts and answers given; the consent record with the notice version seen; technical data such as IP address and browser type for security and rate limiting. We deliberately do not collect demographic or protected-class data, and the interviewer is instructed never to ask for it.
How we use it
- To run the interview and produce the report the agency requested — facts, criteria checks, evidence-linked assessment, review signals.
- To send candidates their invitation, a reminder, and a completion confirmation; and to email agency members about activity, per their own preferences.
- To bill agencies for completed interviews and to prevent abuse (rate limits, fraud checks).
- To improve the product using aggregated, anonymized signals. Recruit100x does not sell personal data, and AI vendors are configured not to train on your content where they offer that setting.
No decision about a candidate is made automatically. A named person at the agency records every decision.
How long we keep it
Candidate recordings, transcripts and contact details are kept for the agency’s retention period — 24 months by default, configurable between 12 and 120 months, with a 48-month floor where California rules apply — counted from the candidate’s most recent interview. After that they are deleted automatically and the record is anonymized; the assessment, the decision and the consent record are kept in anonymized form.
Candidates can ask the agency to delete their data sooner. Deletion runs after a 7-day grace period with an email confirmation. An agency may place a legal hold that pauses deletion while a dispute or records request is open.
Agency account data is kept while the account is active and for 30 days after an agency asks to be deleted; invoices and the audit log are kept as required by law.
Your rights
Depending on where you live you may have the right to access, correct, delete or export your personal data, and to object to or restrict certain processing. Candidates: contact the agency that invited you; they can export your record or start deletion in the product, and we will help them respond. Agency members: update your details in Settings or contact us below. We never discriminate for exercising these rights.
Security
Data is encrypted in transit and at rest, recordings are reachable only through the report and client-link APIs, every query is scoped to the agency, and actions are logged. The security overview has the details.
